The protection of your personal data is a special concern to us. We process your data exclusively based on legal provisions, especially the General Data Protection Regulation (GDPR), the Telecommunications Act (TKG 2021), and other applicable data protection regulations.

In this privacy policy, we inform you according to Art. 13 GDPR about the type, scope, and purpose of the processing of personal data within the framework of our website as well as our advisory, application, and support services.

This translation is provided for convenience only. In the event of any discrepancy between the English and German versions, the German version shall prevail.

2. Hosting and IT infrastructure

Our website is hosted by World4You Internet Services GmbH (Austria). E-mail communication takes place via the SMTP servers of World4You.

For internal administration and documentation, we use Google Workspace (Google Ireland Limited). Processing takes place within a protected cloud system with standard encryption. There are data processing agreements according to Art. 28 GDPR.

In the context of using Google services, a transfer of personal data to third countries (especially the USA) cannot be ruled out. The transfer takes place based on the EU-US Data Privacy Framework and – if necessary – additionally based on standard contractual clauses of the European Commission.

External IT service providers (e.g., P8 Innsbruck) may gain access to personal data within the scope of their contractual activities. They act as processors according to Art. 28 GDPR.


3. Contact and consultation

If you contact us via contact form, e-mail, telephone, WhatsApp, or in person, we process the data you provide (e.g., name, contact details, professional interests, preferred contact method) to handle your request and conduct pre-contractual measures as part of our consultation.

For quality assurance purposes, we maintain an internal consultation log (interaction log).

4. Applications via the portal

If you apply through our application portal on ausserfern.tirol, the following data will be processed:

  • First and last name

  • E-mail address

  • Phone number

  • Cover letter / Comment

  • Application position

  • Resume

  • if applicable, other documents

The data is stored in the protected portal. Companies only gain access to applications that are explicitly directed to them. The companies process this data as independent controllers.

There is no active forwarding by the association.

Art. 6 Para. 1 lit. b GDPR (performance of pre-contractual measures)

Retention period:
Application documents are stored for a maximum of 7 months from receipt (Equal Treatment Act). They are deleted thereafter unless further advisory services are used.


5. Client database (CRM)

For the structured implementation of our advisory and support services, we maintain an internal client database (Google Sheets within Google Workspace).

In this, the following data is processed – as far as required in the context of consultation:

  • Name

  • Contact details

  • Application position

  • Communication history

  • Notes on education, career path, qualifications, language skills

  • Preferences (e.g., region, field of activity)

  • Nationality / residence status (as far as necessary for placement)

No health data, religious data, ethnic data, or criminal information is systematically processed.

Purpose of processing:

  • Performance of pre-contractual measures

  • Individual consultation

  • Internal resource alignment

  • Documentation of support

  • Anonymized statistical evaluations for funding reports

Contact with suitable positions is made exclusively manually by the association's staff. There is no automated decision-making or profiling within the meaning of Art. 22 GDPR.

Retention period:
The data is stored for the duration of active consultation and deleted no later than 7 months after the last contact. If you use our support again within this period, a new consultation period begins.

Deletion is carried out manually in the system. There are no separate offline backups.

There is no entitlement to placement or information about all open positions. Consultation is based on available personnel resources. Liability for non-transmitted job offers is excluded.


6. Newsletter (Mailchimp)

If you sign up for our newsletter, we process your name and email address through Mailchimp (Intuit Inc., USA).

Mailing is done via a double-opt-in process.

Tracking:
Newsletters contain technical features for measuring open rates and click behavior. This evaluation is exclusively for the statistical optimization of our content. There is no further profiling.

Art. 6 Para. 1 lit. a GDPR (consent)

You can revoke your consent at any time.

Transfer to the USA takes place based on the EU-US Data Privacy Framework.


7. Cookies, web analysis, and online advertising

We use CookieScript to manage your consents.

Technically necessary cookies are based on Art. 6 Para. 1 lit. f GDPR.

Analysis and marketing services are used exclusively based on your consent (Art. 6 Para. 1 lit. a GDPR).

Currently used services:

  • Google Analytics 4 (with IP anonymization)

  • Meta Pixel

  • Google Ads Conversion Tracking

  • Remarketing functions

These services allow statistical evaluations, conversion measurement, and target group-based advertising. A transfer of personal data to the USA may occur. The basis is the EU-US Data Privacy Framework and standard contractual clauses.

You can revoke your consent at any time via the cookie banner.


8. External content (e.g., YouTube)

On individual pages, we integrate content from YouTube (Google Ireland Limited). When called up, your IP address can be transmitted to Google.

Legal basis:
Art. 6 Para. 1 lit. f GDPR (legitimate interest in appealing presentation)
or Art. 6 Para. 1 lit. a GDPR, if consent is required via the cookie banner.


9. Server logfiles

The following data is automatically collected when visiting the website:

  • IP address

  • Browser type and version

  • Operating system

  • Referrer URL

  • Date and time of access

These data serve technical security and are deleted after 14 days at the latest.

You have the right at any time to:

  • Access (Art. 15 GDPR)

  • Rectification (Art. 16 GDPR)

  • Erasure (Art. 17 GDPR)
